✅ 1. Acceptance of Terms

By booking a tour with Route97 Tours & Travels ("Route97", "we", "us", "our"), you ("the traveler", "you") agree to be bound by these Terms & Conditions. These terms apply to all tours, services and bookings made through our website, WhatsApp, phone, email or any other channel.

If you are booking on behalf of a group, you confirm that all group members have agreed to these terms and that you are authorized to make the booking on their behalf.

📋 2. Booking & Confirmation

All bookings are subject to availability and are confirmed only upon receipt of the advance payment as specified at the time of booking.

2.1 Booking Process

• Contact us via WhatsApp, email or the enquiry form on our website
• Receive a customised itinerary and quotation from our team
• Confirm the itinerary and pay the advance amount to secure your booking
• Receive a written booking confirmation with all trip details

2.2 Booking Confirmation

A booking is considered confirmed only after the advance payment is received and a written confirmation is issued by Route97. Verbal or informal confirmations do not constitute a confirmed booking.

2.3 Accuracy of Information

It is the responsibility of the traveler to ensure all information provided at the time of booking (names, dates, contact details, group size) is accurate. Route97 is not responsible for any issues arising from incorrect information provided by the traveler.

💳 3. Payment Policy

3.1 Advance Payment

A minimum of 50% of the total tour cost is required as an advance payment to confirm the booking. The remaining balance must be paid at least 7 days before the trip start date unless otherwise agreed in writing.

3.2 Payment Methods

• Bank Transfer / NEFT / RTGS
• UPI (GPay, PhonePe, Paytm)
• Cash (at our Mumbai office)

3.3 Late Payment

Failure to pay the remaining balance by the due date may result in cancellation of the booking. Route97 reserves the right to cancel unconfirmed bookings and apply the cancellation policy accordingly.

❌ 4. Cancellation & Refund Policy

4.1 Cancellation by Traveler

• More than 7 days before trip: Full refund of advance payment
• Within 7 days of trip start date: No refund — booking amount is non-refundable
• No-show on trip date: No refund

4.2 Rescheduling

Rescheduling requests made more than 7 days before the trip are generally accommodated free of charge, subject to availability. Rescheduling within 7 days of the trip may incur additional charges.

4.3 Cancellation by Route97

In the event that Route97 cancels a tour due to unavoidable circumstances (natural disaster, severe weather, government restrictions, force majeure), travelers will be offered a full refund or an alternative date at no extra cost.

4.4 No Refund for Partial Utilisation

No refund will be issued for any services included in the package that are not utilised by the traveler due to personal reasons, late arrival, early departure, or any other reason within the traveler's control.

✔️ 5. Inclusions & Exclusions

5.1 What is Included

Each tour package clearly states what is included. Standard inclusions typically cover hotel accommodation, daily breakfast, sightseeing as per itinerary, private vehicle transfers, driver allowance, toll, parking and applicable taxes.

5.2 What is Not Included

Unless specifically mentioned in the package, the following are NOT included:

• Airfare or train tickets
• Lunch and dinner (unless specified)
• Personal expenses, shopping, tips
• Entry fees to monuments, parks or attractions
• Water sports, adventure activities or optional excursions
• Travel insurance
• Any expenses due to delays, cancellations or unforeseen events

🚗 6. Transport

All transport provided by Route97 is in private, air-conditioned vehicles. The type of vehicle is determined by the group size and will be confirmed at the time of booking.

• Vehicles are exclusively for the booked group — no sharing with other tourists
• Route97 is not responsible for delays caused by traffic, road conditions, weather or other factors beyond our control
• Travelers are expected to be ready at the pickup point at the agreed time. Delays caused by travelers may affect the day's itinerary
• Flight and train tickets are the sole responsibility of the traveler
• Any damage caused to the vehicle by the traveler will be charged accordingly

🏨 7. Hotels & Accommodation

Route97 selects hotels based on quality, location and value. The specific hotel is confirmed at the time of booking based on availability.

• Hotel images shown are for representation purposes only. Actual rooms may vary
• Standard check-in time is 2:00 PM and check-out is 10:00 AM
• Early check-in or late check-out is subject to hotel availability and may incur additional charges
• Route97 is not responsible for issues arising from hotel policies, overbooking or hotel-related disputes
• In case a confirmed hotel is unavailable, Route97 will arrange an equivalent alternative

⚖️ 8. Liability & Responsibility

Route97 acts as an organiser and coordinator of travel services. While we take every reasonable precaution to ensure a safe and enjoyable trip, we are not liable for:

• Any injury, illness, death, loss or damage to personal property during the trip
• Losses caused by events beyond our control (natural disasters, strikes, political unrest, pandemics)
• Services provided by third-party vendors (hotels, cruise operators, activity providers)
• Any indirect or consequential loss or damage

🤝 9. Traveler Conduct

Travelers are expected to behave in a respectful and responsible manner throughout the trip. Route97 reserves the right to terminate a traveler's participation in a tour without refund if they:

• Engage in illegal activities or violate local laws
• Behave in a manner that endangers themselves or others
• Cause damage to property, vehicles or hotel facilities
• Are disrespectful to our staff, drivers or other travelers

Travelers are responsible for carrying all required identification documents. Route97 is not liable for any inconvenience caused due to missing or invalid documents.

🔄 10. Changes to Itinerary

Route97 reserves the right to modify the itinerary, accommodation or transport arrangements in the event of unforeseen circumstances, safety concerns or events beyond our control. In such cases, we will endeavor to provide the best possible alternative without additional cost to the traveler.

Any changes requested by the traveler after booking confirmation are subject to availability and may incur additional charges.

🔒 11. Privacy Policy

Route97 collects personal information (name, phone number, email, travel details) solely for the purpose of processing bookings and providing travel services. We do not sell or share your personal information with third parties except as required to fulfill the booking (hotels, transport providers).

By booking with us, you consent to us contacting you via WhatsApp, phone or email regarding your booking and related travel information.
